Shipping & Export — International Vanilla Delivery from Indonesia
Bali Vanilla Export manages the complete international shipping and export process for vanilla beans, powder, and extract shipments from Indonesia to buyers worldwide. Our experienced export team handles documentation, customs compliance, freight coordination, and delivery tracking to ensure your vanilla arrives in perfect condition, on schedule, and fully compliant with destination country import regulations.
Shipping Terms — FOB and CIF
We offer two standard shipping terms to accommodate different buyer preferences and import arrangements. FOB (Free on Board) pricing covers product cost, packaging, export documentation, inland transport to port, and loading onto the vessel. The buyer assumes responsibility and cost for ocean freight, marine insurance, and destination port charges. FOB shipments are available from three major Indonesian ports: Benoa Port (Bali), Tanjung Perak (Surabaya, East Java), and Tanjung Priok (Jakarta).
CIF (Cost, Insurance, and Freight) pricing includes everything in FOB plus ocean freight and marine insurance to your nominated destination port. CIF is the preferred option for buyers who want a single, all-inclusive delivered price without managing their own freight arrangements. We provide CIF quotations to any major international port — simply specify your destination when requesting a quote.
Transit Times by Destination
Sea freight transit times from Indonesian ports vary by destination region. East Asia and Southeast Asia including China, Japan, South Korea, Singapore, and Thailand typically take 7-14 days. Australia and New Zealand shipments arrive within 10-18 days. Middle East destinations including UAE, Saudi Arabia, and Qatar require 14-21 days. Europe including Germany, France, Netherlands, UK, and Italy takes 21-28 days. North America including US East Coast and West Coast ranges from 25-35 days. South America and Africa shipments typically require 28-40 days depending on specific destination.
Air freight is available for urgent orders, with delivery typically within 5-10 days to most international destinations. Air freight costs are significantly higher than sea freight and are generally recommended only for sample shipments, urgent restocking orders, or time-sensitive product launches.
Packaging for International Transit
Proper packaging is critical for maintaining vanilla quality during international shipping. Our standard export packaging system is designed to protect against moisture, temperature fluctuations, physical damage, and contamination throughout the transit journey. Individual beans are vacuum-sealed in food-grade polyethylene bags, removing air to prevent oxidation and moisture loss. Vacuum-sealed bags are placed in food-grade inner cartons with moisture barrier lining. Inner cartons are consolidated into reinforced outer export cartons meeting ISPM-15 standards for international timber packaging. Export cartons are palletized and shrink-wrapped for container loading efficiency and stability during sea transport.
For vanilla extract shipments, which contain alcohol (35%+ ethanol), we comply with IMDG (International Maritime Dangerous Goods) regulations for sea freight and IATA DG regulations for air freight, including proper UN packaging, labeling, and documentation.
Export Documentation
Every international vanilla shipment from Bali Vanilla Export includes comprehensive documentation required for smooth customs clearance at destination. Our standard documentation package includes a phytosanitary certificate issued by Indonesia’s Agricultural Quarantine Agency (Barantan) confirming the product is pest-free and meets plant health standards, Certificate of Origin (CO) for preferential tariff treatment under applicable trade agreements, Certificate of Analysis (COA) detailing vanillin content, moisture levels, microbiological test results, and visual grading specifications, commercial invoice with detailed product descriptions, quantities, pricing, and trade terms, packing list specifying carton contents, weights, and dimensions, bill of lading (sea freight) or air waybill (air freight), and fumigation certificate where required by destination country.
For buyers requiring additional documentation — such as organic certification, halal certification, kosher certification, or specific third-party lab reports — we coordinate with accredited bodies to provide these documents prior to shipment.
Customs and Import Compliance
Each destination country has specific import requirements for spice products. Bali Vanilla Export maintains current knowledge of import regulations for our most active export destinations and ensures every shipment is fully compliant. For the United States, we comply with FDA requirements for food imports, including proper labeling and Prior Notice filing. EU shipments meet EFSA standards and carry the required phytosanitary and origin documentation for EU border inspection. Japanese imports comply with MAFF quarantine requirements and food sanitation standards. Australian shipments meet BICON biosecurity requirements. We are familiar with and comply with requirements for many other markets including Canada, South Korea, UAE, India, and China.
If you are importing Indonesian vanilla for the first time, our export team can advise on the specific documentation and compliance requirements for your country.
Frequently Asked Questions — Shipping & Export
How long does the entire process take from order to delivery?
For in-stock products, the typical timeline is 3-5 business days for order processing and quality verification, 2-3 days for packaging and export documentation, plus transit time (7-35 days depending on destination and shipping method). Total time from order confirmation to delivery is typically 2-6 weeks. Custom orders or large volumes may require additional processing time — we provide estimated timelines at the quotation stage.
Can you ship to any country?
We ship to any country where vanilla imports are permitted under local regulations. Our most active export routes cover the US, EU, Japan, Australia, Middle East, South Korea, China, India, and Canada. For destinations where we have limited shipping history, our export team will research specific import requirements and advise on any additional documentation needed before confirming the order.
Do you provide shipment tracking?
Yes. Once your shipment is dispatched, we provide the bill of lading number, vessel name and voyage details, and tracking links where available. Our export team sends proactive updates at key milestones: shipment departure, estimated arrival, and any delays or route changes. For CIF shipments, we also coordinate with destination port agents to ensure smooth clearance.
What happens if vanilla is damaged during shipping?
All CIF shipments include marine insurance covering loss or damage during transit. For FOB shipments, we recommend buyers arrange their own marine cargo insurance. In the event of documented shipping damage, we work with the insurance provider and freight carrier to process claims efficiently. Our vacuum-sealed packaging system and reinforced export cartons are specifically designed to minimize transit damage risk — damage incidents are extremely rare with our standard packaging.
